BA Direto | Extranet: Accommodation Bulletin
Completing the Accommodation Bulletin is carried out in two phrases with two possible scenarios.
With BA Direto you can choose to fill out the Accommodation Bulletin immediately or you can also choose to send this form to the guest by email, so that it can be completed.
Please note the date of sending the Accommodation Bulletin. According to law, the information must be submitted within 3 business days of the Check-in date..
New Accommodation Bulletin
To send a new Accommodation Bulletin you can click the home menu tab Bulletins Accommodation or click on the shortcut button located in the upper right corner "Add Bulletin“.
NOTE: You may only submit Accommodation Bulletins from the Check-in date.
Completing the Accommodation Bulletin is carried out in two phrases, and the first phase must always be filled by the Local Accommodation Explorer:
1st Phase
First of all, you must indicate which of your accommodations will receive the reservation in question.
After choosing the accommodation to receive the stay, please refer to how many foreign guests are part of this reserve.
NOTE: Remember that you do not have to communicate the data of citizens of Portuguese nationality.
Finally, it should indicate which Check-in dates it's from Check-out of the reservation.
Only after filling in these first data, you can choose to fill in the method of filling the 2nd phase of the Accommodation Bulletin. Until then they will be blocked on click.
To complete the Accommodation Bulletin, you can select 1 of 3 options:
- You can select the “"Continue"”And proceed to immediately fill in the Accommodation Bulletin. You may do so at Check In or at any other time from the Check In date.
- You can select the ““Copy Link””To generate a link, automatically copied to your clipboard, so that you can just paste in the conversation with the guest.
This way you can send it to your guest directly via the way you want (WhatsApp, booking platforms such as Airbnb and Booking, via SMS, etc.) to fill out the form with your personal details (2nd phase).
- You can select the “"Send by Email"”To send the form by email to your guest, so that he finishes the insertion of the remaining data (2nd phase).
The option ""Send by Email"”Will only be available when the“ Guest Email ”field is filled in correctly.
NOTE: Please do not consider your guest email provided by booking platforms such as Booking, as sending to such email is unreliable and your guest may not even receive your form.
If the Check-in date is later than the current date, the “Continue” option will not be valid, as the stay has not yet happened and you cannot make an immediate communication to SEF.
When so, choose one of the other features that you can send in advance to your guest.
2nd Phase
The second phase involves filling in the identification data of each foreign guest.

The Accommodation Bulletins form is translatable into 6 languages (Portuguese, English, French, Spanish, Italian and German). So that the guest when filling in clearly understands what is required.
At the end of the form there will be a mandatory checkbox, proving that the data provided is true and where you can consult the legal requirement to provide data for the Accommodation Bulletin in several languages.
Immediate Filling
By opting for immediately fill you must enter the data of your foreign guests and press the button “Submit".
ATTENTION: You will only be able to submit Accommodation Bulletins from the Check-In Date.
No further intervention is required because the data will be automatically sent to the SEF.
Send to guest via direct conversation by Link
If you choose to submit this form via Link to your guest,you will be required to fill in your identification details and those of the remaining members of the reservation.
You can send this Link to your guest via Whatsapp, booking platform conversationsby Airbnb and Booking, by SMS or any other conversation method with your guest.
To do this, just after selecting the option “Copy Link”, paste directly into the conversation with your guest, as the link is automatically on your clipboard and you just have to paste in the conversation.
We recommend that you have an introductory text ready to send to your guest before sending them the link.
Link expires and is no longer valid 5 days after Check-in Date.
Shipping to the guest by email
If you choose sending this form by email to your guestyou will be required to fill in your identification details and those of the remaining members of the reservation.
Your guest will receive an email common link to proceed to the second phase of the form, and it is not possible to change any other data in the reservation.
Guest has until 5th day from Check-in date to submit completed form.
From that date the link expires and is no longer valid.
The operator must intervene if it realizes that the guest will not complete the Newsletter in time.
Asking the guest for the data to perform a immediate completion of the Accommodation Bulletinif that's the reason.
Following this link, which will be available in several languages, will open the second part of the form with the other data blocked from change.
Shipping to SEF
Upon completion by your guest, you must validate the veracity of the information and send to SEF.
To submit to SEF, you should refer to the Accommodation Bulletin List after your customer has submitted the data and waited for the Check-In date, as this will allow you to submit the Hosting Bulletin to SEF from that date.
It may happen, send you the data and for some reason of force majeure not to attend the reservation. Since you do not have to communicate this information to the SEF, because the stay has not taken place.

In the list, select the corresponding Accommodation Bulletin line and click on the “Submit SEF / View“.
You will be shown the information provided by the guest and must take the necessary precautions to verify that the data is true before sending to the SEF.
Then, you can send the information to SEF by clicking on the “Submit to SEF“.
NOTE: You can only do this from the Check-In Date.
Shipping Confirmation Notifications
Upon successful submission the Accommodation Bulletin to the SEF, you will receive 2 shipping confirmation notifications.
1) The SEF will send an email that mentions that a batch of accommodation bulletins with the number of movements corresponding to the number of guests it communicated was received at day X.
2º) The BA Direto will send an email for each guest mentioned in the Accommodation Bulletin, with their data and confirm the sending to the SEF.
Consultation of Bulletins sent and Download proof of stay
The bulletins upon successful submission to SEF can be viewed at any time in the Accommodation Bulletin List.
You can also download proof of stay from this listing by selecting the desired bulletin.
